Privacy Policy

Plain-language summary (the sections below are what counts): we collect what you give us on this site, and we process what your property stores in the Service — on your instructions. Guest data belongs to the property. We don't sell personal data, we don't run ad trackers here, and everything is encrypted and backed up.
1. Scope
This Privacy Policy explains how Hotomo ("we", "us") handles personal data in two places: this website (hotomo.ai) and the Hotomo property management service used by hotels and short-term rentals (the "Service"). It is written to comply with India's Digital Personal Data Protection Act, 2023 and the Philippines' Data Privacy Act of 2012 (RA 10173).
2. What we collect on this website
- Contact form: your name, email, and message — plus phone, property name and number of rooms if you choose to give them
- Demo bookings: handled by our scheduling provider, which collects your name, email and chosen time
- Email: anything you send to hello@hotomo.ai
- Technical basics: standard server logs (IP address, browser type, pages requested) used for security and to keep the site working
This website does not run advertising trackers and currently sets only cookies that are strictly necessary for it to function.
3. What we collect in the Service
When your property subscribes to Hotomo, we process:
- Account data: names, emails, roles and login records of your team members
- Property data: rooms, rates, bookings, invoices, housekeeping and operational records
- Guest records: data your property stores about its guests — names, contact details, stay details, billing records
Guest records deserve a clear statement: your property decides what guest data to collect and why; we process it on your property's behalf and instructions to provide the Service. Responsibility for collecting guest data lawfully — including any consents your guests must give — rests with the property.
4. How we use personal data
- To respond to inquiries and demo requests, and to provide quotations
- To provide, operate and support the Service — including setup, migration, training and in-app live chat support
- To bill subscriptions and keep required financial records
- To secure our systems, prevent abuse, and meet legal obligations
- To tell existing customers about Service changes that affect them
We do not sell personal data. We do not use guest records for marketing.
5. Sharing
We share personal data only with service providers who help us run Hotomo — hosting infrastructure, email delivery, scheduling, and payment processing — under terms that limit their use of it to providing those services. Data flows to OTAs and booking channels happen at your property's direction as part of channel synchronisation.
We may disclose data where the law requires it, or in connection with a merger or acquisition, in which case this Policy continues to apply to data collected before the change.
6. Where data is stored and how it is protected
Service data is encrypted in transit and at rest, with automatic daily backups. Access within our team is limited to people who need it to provide the Service, under confidentiality obligations.
Our infrastructure providers may store data in data centres outside India or the Philippines; where data crosses borders we ensure protections consistent with the laws named in this Policy.
7. Retention
- Website inquiries: kept for as long as needed to handle the inquiry and for a reasonable follow-up period
- Service data: kept while your subscription is active; after termination you may request an export within 30 days, after which we may delete it from active systems
- Billing records: kept as long as tax and accounting laws require
- Backups: deleted data leaves backup cycles on their normal rotation
8. Your rights
Subject to the law that applies to you (India's DPDP Act or the Philippines' Data Privacy Act), you may request access to your personal data, correction of inaccurate data, deletion, and information about how it is processed. Philippine residents additionally have rights to object to processing and to data portability, and may lodge complaints with the National Privacy Commission. Indian users may raise grievances with us and escalate to the Data Protection Board of India.
To exercise any right, email hello@hotomo.ai. We respond within the timelines the applicable law sets. Guests of properties using Hotomo should direct requests to the property first, since it controls the purpose of that data; we support our customers in fulfilling such requests.
9. Children
Our website and Service are for businesses and are not directed at children. Guest records may incidentally include minors staying at a property (for example, in family bookings); the property is responsible for collecting such data lawfully.
10. Changes to this Policy
We may update this Policy from time to time. Material changes will be announced on this page and, for subscribed customers, through the Service or by email. The date at the top is always the date of the current version.
